Examplify, ExamSoft's delivery application, is used for bar exams, nursing programs, dental and medical boards and many professional certifications. Unlike browser-based proctoring, Examplify downloads the encrypted exam file to your machine and runs it offline, uploading answers afterwards. That design is why it is resilient during the exam and why almost all of its failures cluster at two moments: the download before, and the upload after.

The exam file will not download

Exams appear only after the institution releases them, and each has a hard download window.

Checklist: confirm you are logged into the correct institution account (the ID is institution-specific, not an email you chose); check the release date and time in the notice; disable VPN and corporate proxies; allow Examplify through the firewall; and if the list is empty, use the refresh/sync control rather than reinstalling.

Registration or launch is blocked

Examplify requires administrator rights to install and a supported operating system version. It refuses to launch on virtual machines, and it will not run if the OS is older than the supported list published for the current release. Institutions frequently mandate a specific Examplify version; installing the newest build when the school requires an earlier one causes a rejection at launch.

Mid-exam crashes and frozen screens

Examplify autosaves continuously to an encrypted local file. If the app crashes, relaunch it — you will normally be returned to your place with your answers intact. Do not reinstall, do not restart the exam from scratch, and do not delete the exam from the list, because deleting it destroys the local answer file.

To prevent crashes: run the mock exam your program provides, close everything else, plug into power (battery-saver throttling causes freezes), disable automatic OS updates for the day, and free at least a few gigabytes of disk space.

"Answer file not uploaded" — the one that panics everyone

This is a network problem, not lost work. The encrypted answer file remains on your machine.

1. Connect to a stable network — switch to a home connection or hotspot if you are on a campus network with a captive portal.

2. Open Examplify; it will attempt to resume the upload automatically.

3. If it stalls, use the manual upload option from the exam's menu.

4. If it still fails, contact your program's exam administrator immediately — they can retrieve the file through a support process, but only if you do not delete the exam or reinstall the application.

Never uninstall Examplify before the green upload confirmation appears.

ExamID and ExamMonitor

Many programs add ExamID (facial recognition at launch) and ExamMonitor (webcam and audio recording reviewed afterward). These add camera permission requirements: allow the app under system privacy settings, ensure good frontal lighting for the face capture, and expect the post-exam upload to be considerably larger — leave the machine on and connected until it completes.

The universal pre-exam checklist

Roughly nine out of ten proctoring incidents trace back to the same five conditions. Run this list the day before, not fifteen minutes before.

  • Use the same machine, browser and network you will test on. A system check passed on a laptop at home does not certify the desktop at work.
  • Reboot fully. A cold restart releases the camera handle that Zoom, Teams, Discord, OBS, Snap Camera or Windows Camera quietly kept open.
  • Update the browser and the secure application. Version mismatch is the single most common launch failure.
  • Test upload, not download. Live proctoring streams video *out*. You need a stable 1.5–3 Mbps upload; a 500 Mbps download does not help if upload collapses.
  • Disable VPNs, proxies, corporate firewalls, parental filters and antivirus web shields. Managed work or school devices block the ports proctoring platforms use, and administrators cannot always unblock them in time.

Fast diagnostic sequence when something breaks

1. Note the exact error code or message and screenshot it — support resolves coded errors in minutes and vague descriptions in hours.

2. Check whether the failure is *device*, *network* or *account*. Device: the check fails offline too. Network: it fails only on this connection. Account: it fails on every device.

3. Switch one variable at a time: hotspot instead of Wi-Fi, Chrome instead of Edge, second machine, guest OS profile.

4. Re-run the vendor system check and save the report ID.

5. Contact live support *before* the appointment window closes — most vendors will not reinstate a session once you have exceeded the launch grace period.

What to do if the session is lost anyway

If the exam terminates, do three things immediately, in this order: screenshot the error, open the vendor's live chat and get an incident or case number, and email your institution or licensing board the same day with that number attached. Reinstatement decisions almost always hinge on documented, timestamped evidence created during or immediately after the incident — not on a request filed a week later.

Then use the retake window deliberately. Rehearse the launch flow on the exact machine, run one full-length timed practice test under the same conditions, and treat the technical setup as part of your study plan rather than an afterthought.

Step-by-step fix walkthrough

Step 1 — Clear the camera and microphone permission, close every app that can hold the webcam, then re-run the system check.

Step 2 — Test upload speed, move to 5 GHz or wired Ethernet, and stop cloud backups and streaming devices on the same network.
